S & S Concrete Floors

S & S Concrete Floors is looking for an experienced Office Manager to lead the day-to-day accounting and administrative side of our busy concrete construction company in New Ipswich, New Hampshire.

This is much more than a traditional office management position. You’ll direct the office staff while staying hands-on with accounts receivable, payroll, billing, banking, insurance, employee benefits, reporting, fleet compliance, and the many details that keep our projects and crews moving.

WHAT WE OFFER.

  • $30.00 or more per hour starting pay based on experience.
  • Health, dental and life insurance.
  • 401(k) retirement plan with 4% company match.
  • Paid vacation.
  • Full-time Monday–Friday position generally working 8am–5pm. Some schedule flexibility is available.

WHAT YOUR DAYS LOOK LIKE. You’ll be the go-to person for a wide range of office, accounting, and business needs. There’s plenty of variety here – numbers, people, projects, paperwork, and the occasional “Can you help me figure this out?” that comes with a busy construction company.

  • Direct the office staff, oversee Accounts Payable and Payroll, fill in when needed, and help resolve day-to-day accounting issues.
  • Manage AR, customer invoicing, collections, payments, monthly statements, and vendor payments.
  • Set up new jobs and project files; handle certificates of insurance, contracts, warranties, subcontractor qualification forms, and project bonds.
  • Complete monthly customer billing, including AIA billing, lien waivers, subcontractor reports, and other required paperwork.
  • Monitor weekly payroll, certified payroll reports, bonus checks, and 401(k) administration.
  • Reconcile bank accounts, manage banking needs, complete month-end reconciliations, and keep financial records accurate and balanced.
  • Prepare trial balances, balance sheets, and income statements; work with the CPA/auditors on taxes, quarterlies, W-2s, 1099s, annual audits, and year-end closing.
  • Coordinate employee benefits and insurance, including health, dental, life, renewals, workers’ compensation claims, and related records.
  • Manage fleet records, insurance, registrations, fuel/IFTA/UCR filings, permits, toll transponders, Motive tracking, and DOT compliance.
  • Handle trucking invoices and state permits, along with shipping paperwork for UPS, USPS, and freight.
  • Support Estimators, Project Managers, field teams, the shop, and other departments when office or project needs come up.

WHAT WE’RE LOOKING FOR. Someone who can confidently take ownership of a busy office, lead others, and understands the accounting side of running a business. You should bring:

  • Solid experience in office management, accounting, bookkeeping, or a similar business operations role.
  • Hands-on experience with AR, AP, payroll, billing, bank reconciliations, and financial reporting.
  • Experience supervising or coordinating the work of office or accounting employees.
  • Strong organization, accuracy, follow-through, judgment, and comfort handling confidential financial and employee information.
  • Ability to manage several priorities, deadlines, and unexpected needs without losing track of the details.
  • Strong computer and accounting software skills; experience with Sage 100 Contractor is especially helpful.
  • Construction accounting, AIA billing, certified payroll, job costing, insurance, fleet/DOT compliance, or contractor paperwork experience is a definite plus.
