The Diocese of Marquette and U.P. Catholic Foundation are seeking an organized and dependable Administrative Assistant – Stewardship & Development to support the department’s Executive Director and the broader work of stewardship, fundraising, donor relations, grants, and foundation administration.

This position plays an important role in keeping development programs, donor records, communications, campaigns, grants, and day-to-day department operations organized and moving forward. You will work closely with the Executive Director, diocesan staff, parishes, Catholic schools, donors, fund holders, and other constituents throughout the Upper Peninsula.

We are looking for someone who is detail-oriented, comfortable working with databases and administrative systems, and able to manage multiple responsibilities while providing professional and confidential service. This position also supports the mission of the Diocese of Marquette and U.P. Catholic Foundation by modeling Gospel values and the teachings of the Catholic Church.

WHAT YOUR DAY LOOKS LIKE.

  • Maintain donor and constituent records in Camino, including gifts, pledges, grants, appeals, campaigns, reports, and mailing lists.
  • Maintain email and telephone lists in Flocknote for department communications.
  • Manage Legacy of Faith Endowment Fund grant information using the Access database, including applications, reviews, and evaluations.
  • Manage online giving through Our Sunday Visitor and help maintain the U.P. Catholic Foundation and Stewardship & Development websites and related web pages.
  • Support gift processing, pledge management, budgeting, payables, communications, and annual department planning.
  • Assist with foundation administration, including new fund setup, board and committee support, budgeting, payables, and communications.
  • Coordinate foundation programs such as annual fund distributions, Legacy of Faith grants, the Catholic Service Award program, and Bishop’s Ambassadors events.
  • Support development programs serving parishes and Catholic schools, including offertory initiatives, capital campaign basics, estate planning seminars, planned giving, and the Yoopers for Seminarians program.
  • Help organize and administer the Upper Peninsula Catholic Services Appeal, including campaign materials, website updates, pledge and gift tracking, and other administrative support.
  • Assist with creating marketing, communication, and campaign materials for department initiatives.
  • Maintain department calendars, electronic and hard-copy files, meeting schedules and minutes, supplies, payables, mail, email, and phone communications.
  • Work collaboratively with diocesan staff while serving parishes, schools, donors, and other constituents with integrity, confidentiality, expertise, and accountability.
  • Perform other duties as assigned.

WHAT WE ARE LOOKING FOR.

  • Strong administrative, organizational, and attention-to-detail skills.
  • Ability to manage multiple responsibilities, deadlines, records, and ongoing projects.
  • Experience working with databases, donor management systems, CRM systems, or similar administrative software is preferred.
  • Strong computer skills and the ability to learn systems such as Camino, Flocknote, Access, and online giving platforms.
  • Strong written and verbal communication skills.
  • Ability to maintain accurate records and handle confidential donor, financial, and organizational information.
  • A professional and service-oriented approach when working with donors, parish and school leaders, staff members, and other constituents.
  • Ability to work independently while collaborating effectively with the Executive Director and other diocesan staff.
  • Comfort supporting a variety of activities, including donor management, grants, communications, events, website updates, financial administration, and general office responsibilities.
