Specialty Eye is looking for an experienced Assistant Office Lead to join our team in Kirkland, WA. This is a hands-on leadership opportunity for someone with experience in healthcare or medical office operations who is ready to take the next step in their career. Eye care experience is a plus.

As our Assistant Office Lead, you’ll help keep the practice running smoothly, support and develop team members, solve day-to-day problems, and improve the systems that contribute to an exceptional patient experience. You’ll work closely with our Office Lead and Practice Lead while continuing to grow your skills in office management, operations, and team leadership.

$28+ per hour | Monday–Friday | No Weekends

WHAT YOU’LL DO

  • Help oversee daily office operations and workflow
  • Monitor patient scheduling, recalls, appointment confirmations, walk-ins, and missed appointments
  • Help keep provider schedules organized and filled
  • Coach, train, and support team members
  • Assist with onboarding and new-hire training
  • Lead team huddles when the Office Lead is unavailable
  • Monitor clinical, office, and other inventory
  • Track equipment maintenance and repair needs
  • Assist with attendance and payroll reporting
  • Maintain office records and required compliance documentation
  • Identify recurring problems and recommend practical solutions
  • Help create, improve, and maintain Standard Operating Procedures (SOPs)
  • Track important office goals and performance metrics
  • Communicate priorities, updates, and goals to the team
  • Step in and support different areas of the practice when needed

WHAT WE’RE LOOKING FOR

We’re looking for someone with previous experience in a healthcare or medical office environment who understands the pace, organization, teamwork, and patient service required to keep a busy practice running smoothly.

Relevant experience may include:

  • Medical, dental, optometry, ophthalmology, or other healthcare practice experience
  • Patient scheduling, appointment coordination, and front-office workflows
  • Supporting daily operations in a busy healthcare environment
  • Working with providers, clinical staff, and administrative team members
  • Training, coaching, or supporting employees
  • Coordinating patient flow, schedules, and competing priorities
  • Working with office or clinical inventory
  • Tracking reports, goals, or performance metrics

Eye care experience is a plus, but not required. Previous leadership, supervisory, team lead, assistant management, or office management experience in a healthcare setting is strongly preferred.

TRAINING & DEVELOPMENT

You’ll receive hands-on training and cross-training across technician, Patient Care Coordinator, optical, and administrative functions so you can develop a strong understanding of how our entire practice operates.

You’ll also participate in ongoing leadership development through books, courses, online training, optometry management education, and hands-on coaching.
